A New AI Bot That Verifies Polish Contractors by NIP — in Seconds, on Telegram

A New AI Bot That Verifies Polish Contractors by NIP — in Seconds, on Telegram

Every accountant in Poland knows the drill before booking a cost invoice: check the contractor. Are they an active VAT payer? Is the bank account on the white list? Is the amount over the PLN 15,000 threshold that triggers joint liability? Miss one of these and the cost can be disallowed — or you can end up liable for someone else's VAT.

We built a small AI agent to do exactly that check, and today it's live as a Telegram bot: KsięgoAI — @KsiegoAIBot.

Send a NIP, get an answer in seconds

Open the bot, send a tax ID as an ordinary message — optionally with the amount and the bank account from the invoice — and you get back, in one reply:

  • VAT status from the Ministry of Finance white list (Wykaz podatników VAT): active, exempt, or removed from the register.
  • Bank account match — whether the account on the invoice is on the contractor's white-list record.
  • VIES validity for EU counterparties (the basis for a 0% intra-community rate).
  • Risk warnings — the PLN 15,000 joint-liability threshold, split payment (MPP, Annex 15), reverse charge.
  • A due-diligence proof (dowód należytej staranności): a timestamped snapshot of the registry responses you can export to HTML and keep on file.

Natural language works — you can just paste 5260250274, 18 000 zł, account 12 3456… and the agent parses it.

Why this matters

The white list is not a formality. Paying a contractor on an account outside the register — on a transaction above PLN 15,000 — exposes you to joint liability for their VAT and can knock the expense out of your tax-deductible costs. A fast, logged check is the cheapest insurance there is, and the exported proof is what documents your due diligence if anyone ever asks.

This is the verification layer of the same idea we wrote about in auto-pulling purchase invoices from KSeF — the boring, repetitive checks that an AI agent for accounting should handle so a human can focus on judgment calls.

Two ways to use it

  • Telegram — @KsiegoAIBot. Send /start, then a NIP. Commands: /audit (history), /export (download a proof), /email (link an email). You get 50 free checks to start — no card.
  • Claude — install the KsięgoAI plugin and verify contractors without leaving Claude ("check NIP 5260250274").

Everything runs against free, official registries; your credits and history live in one wallet. If you run a bookkeeping office and verify contractors all day, this replaces a lot of tab-switching.

Try it now at ksiego.ignashev.ai, or tell us what you'd automate next.

KsięgoAI checks a NIP against the VAT white list and VIES, scores the risk and saves proof of due diligence. Works in Telegram and Claude.

What Comarch ERP Optima costs in 2026: the subscription list, Basic vs Pro, and three costs it leaves out

Optima's price list is public: Podstawowy 59 zł a month, Logistyka Basic 75 zł, Księga Handlowa 175 zł. The catch is the word Pro: it's a top-up on Basic, not a separate tier, so full accounting in Finanse costs 250 zł, not 200. Plus the Podstawowy limits, how HR counts employees for accounting offices, and two worked examples.

December pay paid in January 2027: a 2026 or a 2027 cost? The 8 January payday and ZUS by 15 or 22 February

December payroll paid in January is a 2026 cost, but only if the pay leaves on the date in the client's pay rules and the ZUS contributions reach ZUS on time. 10 January 2027 is a Sunday, so the statutory deadline ends on Friday 8 January. The same pay lands in the employee's 2027 PIT-11. Here's what an office checks in December and in February.
